Terms and Conditions of Hire

The contract of hire is between the Hirer and the Owner.

Dorset Coastal Cottages (D.C.C.) act as Agents for owners and are not Principals. The Contract of Hire is not effective until D.C.C. send to the Hirer written confirmation of the booking. The contract is for the hire of the property for holiday purposes only. Only those listed on the booking form may stay at the property.

D.C.C. have taken care to provide accurate information, however, changes can occur.  All descriptions, written or oral, are given in good faith; D.C.C. cannot be held liable for them.

D.C.C. take no liability for happenings outside their control and no liability will fall on the Owner of D.C.C. for the effects of extreme weather, power cuts, water shortages, gas failure, coastal or farming disasters, epidemic or pandemic as declared by the Department of Health, DEFRA or WHO. The use of amenities, where offered, such as swimming pools and garden play equipment etc, is entirely at the users’ risk, and no responsibility can be accepted for injury or loss or damage to users’ or visitors’ belongings.

Every attempt is made to ensure the house and equipment are in good working order. If the Hirer is not satisfied with some aspect, contact the housekeeper IMMEDIATELY. A claim against the owner must be made by the party leader, lodged whilst at the property and subsequently put in writing. A claim will not be considered if it is reported after departure.

If the housekeeper cannot remedy the fault they will contact the Owner or D.C.C. The Owner reserves the right to enter the property to do urgent works.

Neither D.C.C. nor the Owner accepts liability for any loss or damage to the Hirer’s possessions or motor cars whilst at the property. Please see ‘Help & Information’ for further details.

The Hirer agrees to take good care of the property and contents; it must be left in a clean and tidy condition, linen/towels must not be damaged and not removed from the house. Many of our properties accept pets and this will be detailed in the individual property descriptions in the brochure and also on our website. Bookings that include pets are taken on the understanding that flea treatment is up to date. Please remember not to leave your pet unattended in the property and that they must remain downstairs and off furniture at all times. You as the pet owner will be responsible for removing any evidence of your pet’s presence from the garden.
Hirers must pay for breakages and will be liable for any damage, missing items and extra cleaning – this is defined as time taken in excess of the normal turn-around and would include: a) dirty dishes/dishwasher not emptied; b) cooker/hob/oven with burned on food; c) furniture, if moved, not put back into its original position; d) excessive quantities of rubbish requiring disposal; e) dog dirt not being removed from gardens; etc.

In the event of the property not being available (e.g. fire, flood, death of owner etc), D.C.C. will notify the Hirer as soon as possible, offer a full refund or try to find other acceptable accommodation. D.C.C./Owner liability is limited to the rents received.

MAXIMUM PARTY SIZE AT THE PROPERTY MUST NOT BE EXCEEDED. Any breach of this condition will result in admission being refused or immediate expulsion without compensation for lost rent. The Hirer may not have more than 2 visitors at the property at any one time who must depart by 11 pm. This condition may only be varied by express written permission of the Owner, obtained in advance. Confirmation of Bookings: Once D.C.C. has issued a Confirmation of Booking Receipt, the Hirer is responsible for the total published price of the property and extras as shown on the confirmation. Amendments to bookings, where allowed, will be subject to an administration fee of £30. The Agents reserve the right to adjust prices quoted in the brochure, on our website or on details to properties, due to errors or omissions.

Damage Deposits: A minimum Damage Deposit of £150 against damage/extra cleaning will be required for properties with 4 or more bedrooms (larger deposits as advertised on individual cottages pages), bookings made by non-UK residents and bookings in excess of 15 days. Other bookings/amounts at our discretion.
Payments for Damage Deposits should be made by debit or credit card only (no charges apply). Payments made by bank transfer or cheque are discouraged and any bank charges levied upon DCC when returning the deposit will be charged to the hirer. Non-family groups are only accepted at the owner’s discretion.

Arrival/Departure Times, as shown on the Key Instructions must be adhered to. Late departures, unless specifically agreed by the owner, will incur a penalty charge of an additional night’s hire.


  • Any cancellation must be advised by the party leader in writing. If advised more than 8 weeks prior to the first day of the holiday, D.C.C. will attempt to re-let and if successful refund the amount paid minus the cancellation fee of £80 (and Booking Fee). If unsuccessful then the amount paid is forfeit.
  • If 8 weeks prior to the first day of the holiday the balance of the rent is not received, D.C.C. will assume cancellation and the amount paid will be forfeit.
  • If cancellation occurs within 8 weeks prior to the holiday, D.C.C. will attempt to re-let and if successful will refund the amount achieved minus the administrative fee of £80 (and Booking Fee). If unsuccessful the full amount is forfeit.  D.C.C. reserve the right to discount the holiday.
  • Booking Fee is non-refundable.
  • The rental charge does not include cancellation protection. Please make your own arrangements. Dorset Coastal Cottages must be advised of the cancellation prior to arrival if supporting paperwork is required to make a claim.
